Job Title : Executive Assistant COO Office Division : Operations ( Tech Ops, SCM , BiotechProduction& Engineering) Country : UNITED ARAB EMIRATES WorkLocation : UAE (RAK head office) Job Type : Technical Operation -Executive Assistant COO Office Employment Type : FullTime Employment (Un-limited Contract) JobDescription : Purpose : The Executive Assistant will provide executive-level support to theChief Operating Officer (COO).

The primary responsibilities of thisrole are to maintain the COO’s schedule, coordinate withinternal and external stakeholders, provide logistical and travelsupport.

  • Serves as the core support for COO to manage variousOperation related projects and responsible to create and publishdashboard a) Overall health & progress of the said projectb) Status of milestones & deliverables c) Financialinformation about the budget, forecast, actuals etc Keyresponsibilities & Accountability : Main Responsibilities Track COO’s tasks and projects to ensure appropriateprioritization of projects with respect to deadlines andorganizational developments Organize internal and externalmeeting for COO, including logistical and substantive preparation Maintain an accurate and detailed calendar for COO, manage and logincoming scheduling requests, re-schedule meetings upon request,proactively communicate changes, manage all travel scheduling andarrangements Track and reconcile monthly milestone trackers fromvarious functions & submit reports to COO for review Ensure consistent and efficient interaction with both departmental& cross functional colleagues in the organization;
  • demonstrate poise and tact under pressure and handle matters withsound judgement and confidentiality Conduct preliminary researchon a variety of topics;
  • draft materials on special projects,assemble data for presentation & final reporting Preparecorrespondence and communications Office Administration Ensuretidiness of the COO office and that all meeting equipment isfunctioning properly in the meeting room Coordinate officepurchases & maintain assets through administration of theequipment sign-out form Core Competency In terms of competencyyou are highly result oriented with strong sense of accountability& ownership.

  • Must be able to manage tasks and prioritiesand easily adapt to changing situations. Outstandinginterpersonal skills for better working with others;
  • ability towork with high profile individuals externally, as well ascollaborate internally Ability to work in a fast-paced and sometimeunpredictable environment;
  • works well under pressure and tightdeadlines Detail oriented, having positive & tenaciousattitude, organized with proven ability to successfully multi-task Strong verbal and written English communication skills , fluencyin other languages (Arabic) is highly preferred Ability tomaintain confidentiality and discretion at all times Proficiencyin Microsoft Office having strong organizational skills and theability to multitask .

    Action oriented and results focused with aproblem-solving attitude Demonstrated ability in workingindependently and as part of a team Must be able to work in across-functional environment interacting with variety ofstakeholders You must be a self-starter, solution focused,hardworking nature, having self-confidence, and positive attitude.

    Qualifications : - Education 4 years Bachelor degree in a relatedfield - Experience : Minimum 4-5 years of professional workexperience , out of which at least 2+ years of experience inproviding high-level administrative support to executives.

  • Training : Key Competencies : High proficiency in MS Office (MSProjects, PowerPoint, Word, XLs)) is mandatory fitment criteria Must be strongly conversant with Project Management concept and itsvarious tools Experience with domestic and international businesstravel arrangements, coordinating meetings and tracking credit cardand other expenses Technical Competencies :
