About the Job : An opportunity has been arisen for Finance Assistant (Stores & Receiving) to join Finance team in Jumeirah Creekside Hotel.

The main duties and responsibilities of this role :

  • Check incoming goods and services to make sure that they include the appropriate items and that each item is undamaged, record and sign for reception, unload trucks and / or organize the items that they unload.
  • Receive all Food, Beverage and other goods according to the standards operating procedures and to post this into the system on a daily basis.
  • Check all the deliveries for quantity, quality, price, and expiry dates & country of origin for Food & / or Beverage items
  • Maintain levels of Hygiene in the Receiving bay and surrounding areas as per the standards of the Jumeirah Health & Hygiene department and Dubai Municipality.
  • Ensure that the suppliers’ vehicles are set to the correct temperatures, that a record is kept of this & to advise the Purchasing Dept. of any discrepancies.
  • Maintain a record of all short expiry items and to advice the Store Manager accordingly.
  • Notify the relevant departments about the receipt of goods to arrange for them to collect and sign for all goods from the receiving area.
  • Print Purchase Orders related to expected deliveries each day.
  • Prepare the Short Delivery / Rejection report for follow up by Purchasing and Store Manager.
  • Check that all Plastic crates are washed and cleaned properly and if there are any problems to report to the Stewarding department.
  • Pass on all invoices with backup documents to Cost Control department for verification and send to Accounts Payable Clerk on a daily basis.
  • Assist the Stores and cost control Personnel whenever in needed.
  • Maintain stock levels through forecast for all items as per approved min. / max. levels.
  • Receive and verify the items from the receiving clerk.
  • Store these items category wise in the storage areas.
  • Issue the items to different departments on receipt of an approved store request and using control procedure and standards following the policy of FIFO basis
  • Post all requisitions in the system on the same day.
  • Conduct random inventory of store items every day and if there is any variances find out the mistake and rectify accordingly.
  • Prepare non-moving and slow moving item list and bring in to the attention of the Store Manager.
  • Maintain the cleanliness and safety of the store according to storage standards defined in the Jumeirah food hygiene SOP.
  • Assist the Store Manager in maintaining the stock levels.
  • Assist Store Manager in monthly and yearly stock taking.
  • Make purchase request for items to maintain stock levels between minimum and maximum stock level.
  • Report breakage, shortages, pilferage if any, to the Store Manager on a daily basis.
  • Ensure all store items are having a reasonable expiry date within municipality guidelines and maintain a short expiry.
  • Follow the operating standard in the use of computer.
  • Qualifications

    About You : The ideal candidate for this position will have the following experience and qualifications :

  • Have 1 to 3 years minimum in Stores or Receiving department.
  • Minimum Knowledge of Accounting
  • Working with multi-cultural teams.
  • Knowledge of different receiving and procurement systems... ADACO...
  • proficient in relevant computer applications
