Essential Functions

  • Maintain Chairman's calendar
  • Perform administrative duties including typing all correspondence, reports and memoranda emanating from the head office
  • Setup and coordinate meetings and appointments
  • Create, transcribe, and distribute meeting agendas and minutes
  • Receive and screen visitors, telephone calls and correspondence directed to the Head Office
  • Set up and maintain office files and keep correspondence and reports available for reference and efficient operation of the office
  • Meet and greet clients and visitors
  • Perform general clerical duties to include but not limited to : photocopying, faxing, mailing, and filing
  • Maintain hard copy and electronic filing system
  • Other Functions

  • Able to work appropriate hours to complete tasks and meet goals
  • Perform other duties as may occur and as instructed by INDEX Management
  • Adhere to INDEX's rules and regulations; written or implied and any changes or introductions, which may vary from time to time as deemed appropriate
  • Qualifications and Experience

  • Holder of a university degree
  • Three years of high level secretarial experience
  • Excellent knowledge of Microsoft Office package with the ability to learn new software applications
  • Good practice of telephone protocol
  • Bi-lingual with professional verbal and written communication skills and the ability to type 60 wpm
  • Visibility of work requires attention to detail, excellent organizational skills, and discretion with confidential information
