  • Greet visitors, lead them to waiting area, notify their contact of arrival
  • Take care of company reception access cards, provide them to employees coming from abroad for temporary use. Keep record for reception login
  • Customer Support

  • First point of contact for customer queries, requests and enquiries.
  • Monitoring incoming and outgoing phone calls forward them to the appropriate employees (operate the switchboard)
  • Updating our clients data base, and liaise with IT for our office updated contact list.
  • Customer care
  • Check our info accounts in daily basis as top priority and forward the inquiries to the correct dept and follow up if they reach out of client and if the case is close.
  • Post & Courier

  • Keeping accurate record and control of all incoming and outgoing documents by post, courier and hand delivery.
  • Track the important courier online for the superiors and heads and send report.
  • Send Sunil our payroll all the employees’ personnel courier details for salary deduction.
  • Send courier and keep record such cost center for reception back up.
  • Office Expenses

  • Prepare monthly reports and submit in time to accounts for Fedex, DHL, Aramex, Texme, Nesltle Water, in excel sheets
  • Deal with the monthly billing procedures including invoicing with Accounts.
  • Follow up with finance regarding the purchase requests and payments regularly.
  • Sourcing and ordering stationery and office equipment in case facility colleague not available.

  • Take care of the company CCC and receipt after your receipt the orders.
  • Maintain a good filling system in yearly basis to stand as back up for finance dept if needed.
  • Developed a petty cash tracker that enables accurate tracking of company request
  • Executive Support

  • Reading, monitoring and responding to Executives emails.
  • Communicate, correspond and coordinate with secretaries in daily basis related to their lunch, snacks meetings make sure all served in time.
  • Facility Management Support

  • Supervising the office boys, Drivers by distributing daily tasks.
  • Act as second hand for facility dept in case of need.
  • Liaise with driver and our site employees cars for keys hand over.
  • Coordinate with facility dept & travel for car hiring sometimes.
  • Booking Careem for our guests and Client Staff from abroad.
  • Searching for suppliers, requesting quotations, analyzing rates / service quality and providing final recommendation related of facility dept.
  • Help CLIENT stuff use our parking slots in case of availability by providing parking access and keep records for reception.
  • Meeting Room Management

  • Booking meeting rooms for clients and employees in daily basis.
  • Ensuring that the meeting rooms are always clean, tidy and ready for use.
  • Tracking schedules in calendar in daily basis to monitor the rooms availability.
