Overview

  • To oversee the effective administration of a piece of business from all perspectives
  • To be the lynch-pin of the account handling team and relied upon to conduct the administrative side of an account with the minimum of fuss and the maximum of efficiency
  • To be responsible for the prompt and accurate dissemination of information to all relevant departments within the agency
  • To foster excellent relationships with all other department particularly creative and create a stimulating atmosphere within which the best work can be developed
  • Responsibilities

  • To produce a regular status report on each of his / her accounts
  • To organise regular internal status meetings
  • To organise client meetings and requirements thereof (e.g. booking rooms, lunch, room layout / presentation etc)
  • To record all client meetings in accurate contact reports, distributed within 24 hours
  • To maintain a central filing system for documentation and tapes
  • To check the quality of all work leaving the agency (e.g. video tapes, proofing documents etc.)
  • To know the workings of the agency outside the confines of Account Management
  • To regularly monitor and analyse competitive advertising and competitive product activity
  • Should answer all client queries promptly
  • To demonstrate drive and commitment to produce outstanding advertising
  • To work with creative teams to help produce the most relevant presentation materials for new work
  • To make an effort to watch monthly TV and competitive updates
  • To be responsible for budget control of their account(s) based on Account Manager / Director’s direction
  • To hold regular status meetings with Financial / Production Controllers
  • To ensure that all WIP can be resolved as soon as possible
  • To chase client for payment of invoices and clear up invoice queries promptly
  • Should conduct reconciliation’s of each job within three months of its completion
  • To assist the Account Manager in the production of all campaigns
  • To update the Traffic Manager as soon as any changes happen to the status of any job
  • To review status of all jobs with Traffic Manager on a weekly basis
  • To open Job Numbers as soon as required
  • To regularly close jobs which are no longer live
  • To submit timing plans / estimates to client for approval
  • To give clear indication of dates by when work is required
  • Where possible, should give sufficient time for brief to be worked on to standard timings
  • Should immediately inform client of revisions to timing plans / estimates, supplying and gaining approval of supplementary estimates when necessary
  • To inform Production Manager of media plan for each job
  • To gain approval of print advertising from concept through to final proof stage
  • To check quality of all advertising produced in their account (e.g. checks spelling and grammatical accuracy of print advertising
  • To oversee timely payout of commercials to relevant TV stations
  • Should have an understanding of the principles of qualitative / quantitative research
  • Should contribute to the writing of insightful single-minded briefs
  • In conjunction with the planner, to oversee the production of stimulus material (mood boards, narrative tapes etc) for research
  • Should contribute to the promotion of Brand Stewardship amongst clients
  • Should be able to read and interpret quantitative sales / distribution information
  • Should understand the basic terminology and application of media planning and buying
  • To keep the media team informed of developments with creative work, clients’ budgets etc.
  • To keep abreast of developments in all areas of media
  • Should be able to access competitive media spends media partners
  • Daily client contact call before called
  • Project timeline delivery
  • Internal follow ups with departments
  • Opens Job numbers and Closes jobs as required
  • Shares media plans with all departments
  • Maintains central filing system for documentation and tapes
  • Follow ups with suppliers
  • Follow up on estimates & collections
  • Running weekly status reviews
  • Ensuring fortnightly media meetings with media agency
  • Contact report generation within 24 hours
  • Status report generation - weekly
  • Writing all production and revision briefs
  • Writing basic briefs on communication projects
  • Production and delivery of stimulus material for research
  • Regular reading and proper understanding of sales and distribution reports
  • Innovative solutions on internal operations and associated tasks 4 per year
  • Qualifications

  • Degree in Marketing / Commuication or sandwich degree with relevant marketing / advertising modules
  • Track record of advertising internships
  • 6 months - 1 years of work experience / internship in an advertising agency
