  • Role Description :

    To support the Senior Site Representative establish the project document control system, registers and filing structure and thereafter manage the flow of documents and the upkeep and archiving for project documents in accordance with the Contract.

    Responsibilities :

  • Set up document control and filing system in accordance with Arcadis site manual
  • Receive, stamp, log and distribute all incoming documentation in a timely manner
  • Receive, log, distribute all outgoing correspondence in a timely manner
  • Ensure document control registers are kept up to date
  • Produce reports from document control registers for project team
  • Advise Senior Site Representative when documents are becoming overdue
  • Preparing and formatting letters, meeting minutes, reports pre-issue
  • Coordinate with IT for progressive back up of all files
  • Coordinate with drivers for collection / delivery of external correspondence
  • Coordinate with head office admin managers for project supplies (where needed)
  • Maintain project team attendance logs
  • Maintain visitor attendance logs
  • Maintain Arcadis project office notice board
  • Manage project stationary supplies
  • Manage project archiving
  • Qualifications

  • Diploma or Bachelor’s Degree of relevance
  • 7 years post graduate experience
  • Minimum 2 years’ experience in Country
  • Experienced advanced user of Microsoft applications
  • Proficient in the use of document management systems (ACONEX, unifier)
  • Must be fluent in the English langauge and the language of the works Contract (spoken and written)
  • Must be able to work proactivley within multi cultural teams
  • Must work professionally and in an ethical manner whilst representing Arcadis
