A local energy organisation with a global reach.The RoleThe HR Admin Coordinator will act as the focal point in the centralised HR function and assist the Head of HR with all documentation, communication, processing, record keeping, organizing, scheduling and to provide full administrative support to the day to day smooth functioning of the department through the performance of various tasks.
These tasks will include : Manage and maintain the Director’s diary and email account.Filter emails, highlight urgent correspondence and print attachments.
Ensure busy diary commitments, papers, and travel arrangements are managed effectively.Coordinate travel and accommodation requirements and ensure arrangements in place for the Director and Management team to fit their requirements.
Filter general information, queries, phone calls and invitations to the Director by redirecting or taking forward such contact as appropriate.
Prepare correspondence on behalf of the Director, including the drafting of general replies, translation of Arabic documents and correspondence and communicating in Arabic, where appropriate.
Minute general meetings as required and complete research on behalf of the Director Manage Expense Claimed on behalf of the (Corporate Credit Card, Business Travel and other office related expenses)Document control -
Preparation of all HR documents and ensure receipt of the same after signature (approvals, organization charts, inter-office memos, etc).
