About the Job : An exciting opportunity has arisen for a highly motivated individual to join the Rooms Division department.
The main purpose of the role is to assist EAM Rooms / Rooms Division Manager with administrative tasks for Rooms Division including managing calendar, answering calls, taking minutes, preparing forms, follow up on Rooms Division action plans, consolidating Rooms Division reports, managing guest Revinate feedback and preparing guest’s correspondence.
To provide professional and courteous service to internal and external guests for the EAM Rooms / Rooms Division Manager.
Responsible for managing the EAM’s & Rooms Division Manager’s calendar, scheduling interviews, meetings and appointments with external / internal guests, prioritizing and resolving related conflicts on his day to day schedule.
To arrange and coordinate VIP site inspections / show around requests from guests, stakeholders and external entities.
To organize various departmental meetings, presentations and preparing the minutes for distribution.
Keeping all read, told, overheard information of the company and management strictly confidential at all times.
To monitor Oracle requests and Adaco purchase requisitions raised by Rooms Division Heads for EAM’s review and approval.
To prepare departmental forms such as ENT, Comp forms, Expense claims etc. for EAM Rooms and HOD’s.
To prepare and consolidate Capital Expenditures for various projects in Rooms Division.
To handle and follow up signatories required for Contract Summary for Approval, Project Authorization Forms, Project Justification Forms and other documents related to Rooms Division.
To prepare daily Guest Occasion Cards & Welcome cards signed by EAM - Rooms, as well as VIP invitation lists during special events.
To assist butlers in drafting advisory letters, invitation and other printed communication for in-house guests.
To maintain sufficient stationery & supplies in the office and raise Purchase Requisitions for any item required in the department.
To handle, investigate and prepare responses for guest feedbacks through Revinate, emails, letters and other guest feedback channels.
Assisting HOD’s and managers in composing and reviewing business correspondence before sending the same to guests.
To manage the outlook calendar and monitor inbox for EAM Rooms daily and in his absence ensures that urgent matters are delegated to concerned HOD’s for action and ensure response is made where required.
To prepare colleagues recognition letters, certificates and thank you notes.
Coordinate with HR department with regards to leave applications, flights, visas, letters and personal files of EAM-Rooms and Duty Managers.
To follow up action plans and one-to-one sessions with Rooms Division heads.
To track direct reports’ appraisals and Individual Development Plans (IDPs’) on Talent Management System
To carry out special assignments / projects on a wide variety of issues as requested by the EAM Rooms or Rooms Division Manager.
About You : In order to be considered for this role, you must have at 1 year experience as secretary and 2 years extensive work with MS Office in a 5 star luxury brand.
It is essential that you have good command of the English language (spoken and written) and you should be proficient in Microsoft Office applications.
