Job Summary

Welcoming the Visitors

  • Receive visitors, guests and direct them to the concerned person in company in line with company policies and procedures
  • Present the best image of the company in the market through proper attire, communication, service orientation, courtesy, and by displaying professional and positive attitude towards the job, visitors, customers, and self Handling the Reception Area
  • Attend to incoming and outgoing telephone calls. Operate telephone switchboard to answer, screen and forward calls, providing information, taking messages and scheduling appointments
  • Receive customer enquiries and redirect them to the right person related to the enquiry
  • Keep the reception area clean, proper, and tidy in line with company standards Documenting and Reporting
  • Provide accounts department with proper records of overseas calls made during the month.
  • Maintain an updated leaves / attendance records of the employee to have better control in call transfers
  • File and maintain records- Transmit information or documents to customers, using computer, mail, or facsimile machine
  • Keep all visitors records and visitor cards, and enter all visitors’ records in the computer system
  • Keep updated of all employee telephone numbers

    Knowledge, Skills and Experience :

  • Secretarial Diploma / Qualification
  • Secretarial / call center experience
  • Excellent written and spoken English and Arabic
  • Oral and written expression
  • Presentable personality, positive attitude
  • Able to work under reception workload
  • Agility
  • Social perceptiveness
  • MS Office programs
  • Knowledge of administrative, customer service and clerical procedures and systems
  • Telephoning, typing, planning, and organizing skills. Prioritization, coordination

  • Required Experience and Qualifications

  • Experience : 3 - 4 years in Secretarial / call center experience( Required )
  • Graduation : Bachelor's Degree( Required )
  • Proficient in English( Required ) , Arabic( Required )
