Job Overview :

Provide leadership in both onshore & offshore environments in line with McDermott’s expectations on HSE, Quality and Technical requirements.

Key Responsibilities / Accountabilities :

  • Preparation & Production, Reformatting Functional Documentation
  • Effective electronic filing & directory management
  • Maintain personnel listings in conjunction with email distribution for the group,
  • personnel information (Lists / Kronos / MAPS / Organisation / Email Distribution)
  • Scanning & photocopying when required
  • Stationary Ordering (SPMAT Training)
  • Preparation of Presentations & Organisation Charts (Power Point)
  • Effective diary management & meeting scheduling for Function, including booking meeting rooms
  • Travel arrangement (if and when required)
  • Ordering of PPE (if and when required, SPMAT)
  • Functional communication on behalf of management team
  • Attend meetings where required to take and prepare minutes
  • Be open to adaptability / flexibility to unexpected operational changes in the workplace.
  • Arrangement of offsite working events (source & book venue, ensuring adequate provision of equipment for event & refreshments)
  • MAPS Support if & when required
  • Coordination & onboarding of new starts to the department including IT, Phones, project liaison
  • Update audit tracking & reporting via Synergy
  • Maintenance & population of HUC Webpage
  • Confidentiality is paramount for the role

  • Understand & adhere to all applicable McDermott QHSES procedures & practices to ensure any business risks can be identified and mitigated.

  • Ensure accurate and rational reports are provided for project execution schedules & claims that reflect optimum and realistic data.
  • Cost / Budget :
  • Propose cost saving initiatives to reduce administrative burden / tasks (reduce printing, reduce email traffic, utilize network facilities etc.)
  • Schedule / Reporting :
  • Provide clear, accurate, relevant reports status updates where required for the functional team.
  • Leadership / Commitment :
  • Ensure best practice is being implemented aligned to Functional responsibility.
  • Recognise and know own roles and responsibilities.
  • Actively maintain teamwork at all levels.
  • Maintain a high level of work ownership.
  • Be pro-active in seeking innovation and continuous improvement

  • Technical / Systems :
  • Excellent software application knowledge (MS Powerpoint, excel, word, outlook). Revised to include training in the following areas : - SharePoint, Synergy, MAPS, SPMAT.

  • Achieve the set Goal & Objectives aligned to functional requirement
  • Basic Qualifications :

  • Must have held similar role with clerical / administrative experience
  • Set clear & realistic timeframes for self and take ownership of results.
  • Take accountability
  • Effective Interpersonal liaison skills
  • Excellent software application knowledge (MS Powerpoint, excel, word, outlook)
  • Self starter with initiative
