Main Accountabilities :

  • Answer, screen and forward any incoming phone calls while providing basic information when needed
  • Provide office support services in order to ensure efficiency and effectiveness within the School
  • Provide general support to visitors.
  • Receive and sort daily mail / deliveries / couriers
  • Maintain security by following procedures and controlling access (monitor logbook, issue visitor badges)
  • Update appointment calendars and schedule meetings / appointments
  • Assist in preparation of meetings, conferences and conference telephone calls
  • Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies;
  • verifying receipt of supplies.

  • Provide word-processing and secretarial support
  • Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories.
  • Perform other clerical receptionist duties such as filing, photocopying, collating, faxing, Travel arrangements.
  • Drive the After School Activities (ASA) revenue & collections for both schools.
  • Drafting commercial contracts in consultation with the Head of Finance & negotiating contractual clauses and respond to contractual queries.
  • Liaising with After School Activities providers.
  • Handling events & school trips & camps both onsite & offsite.
  • Prepare MIS reports
  • Documentation & filing of all documents not limited to the signed contract etc.
  • Conduct due diligence of the service providers & ensure collection of all documents stated in the contract.
  • Job specification :

  • Bachelor’s degree in any discipline.
  • Native English speakers with good written & oral communication skills.
  • The candidate must have excellent customer service, negotiation skills & a flair for numbers.
  • Knowledge of commercial contracting will be an advantage
  • Functional computer skills are required.
