Job Role : AdministrationAssistant

Job Responsibilities :

  • Serves visitors by greeting, welcoming, and directingthem appropriately; notifies company personnel of visitor arrival;
  • maintains security and telecommunications system.

  • Welcomes visitors by greeting them, in person or on thetelephone; answering or referring inquiries.
  • Directs visitors by maintaining employee and departmentdirectories; giving instructions.
  • Maintainssecurity by following procedures; monitoring logbook; issuingvisitor badges.
  • Maintains telecommunicationsystem by following manufacturer's instructions for housephone and console operation.
  • Maintains safeand clean reception area by complying with procedures, rules, andregulations.
  • Maintains continuityamong work teams by documenting and communicating actions,irregularities, and continuing needs.
  • Contributes to team effort by accomplishing related results asneeded.
  • Write and distribute email,correspondence memos, letters, faxes and forms
  • Assist in the preparation of regularly scheduledreports
  • Develop and maintain a filingsystem
  • Update and maintain office policiesand procedures
  • Order office supplies andresearch new deals and suppliers
  • Maintaincontact lists
  • Book travel arrangements
  • Submit and reconcile expense reports
  • Provide general support to visitors
  • Act as the point of contact for internal and externalclients
  • Liaise with executive and senioradministrative assistants to handle requests and queries fromsenior managers
