KeyAccountabilities :

  • Greet and welcome all visitors and guests to the facilityby providing warm and professional hospitality on arrival. Act asthe first point of contact for those arriving to Seddiqi HoldingHQ.
  • Manage the needs of visitors and guests onarrival. Ensure awareness of the reason for their visit, whom theyare meeting with, the location and time of their scheduledmeeting / activity.
  • Check in and process allvisitors and guests promptly in accordance with security proceduresand protocol - ie visitor badges, access passes etc.
  • Notify employees of the arrival of visitors and guests tothe facility and confirming the location of the scheduledmeeting / visits.
  • Facilitate service from TeamSupport colleagues while either in the arrival lounge and / or uponentering the respective meeting room.
  • Maintainfull awareness of the meeting room daily schedule and provideassistance to visitors and guests to their correctlocation.
  • Maintain awareness of visitor andguest whereabouts on the Ground Floor and work in conjunction withSecurity as needed.
  • Monitor and oversee thehousekeeping of the entire Ground Floor area, ensuring Receptionarea, meeting rooms, common areas and amenities are well maintainedand presented at all times.
  • Arrange parkingfor visitors and guests as required, in accordance withavailability, policy and procedure.
  • Coordinatewith the Team Leader Corporate Services regarding any VIPs, specialguests, clients or brand representatives to ensure their visit ismanaged appropriately.
  • Provide feedback to theLeader Corporate Services regarding maintenance or facility relatedmatters to ensure the facility aesthetic is maintained.
  • Provide support to the Team Leader Corporate Services bymonitoring the movement of goods / supplies within the office, timingand location of cheque collection and delivery, management ofnon-work-related deliveries, security protocol.
  • Work in collaboration with Assistant Executive OfficeManagers to ensure effective and efficient handling of CxO visitorsand guests including the prior arrangement of car parking andadditional requirements.
  • Provide support asnecessary to Team Support colleagues assisting visitors andguests.
  • Provide support as necessary toSwitchboard colleagues.
  • Undertake additionaltasks and responsibilities as requested by Corporate ServicesManager.
  • Contribute to the development andtraining of other Corporate Services team members.
  • Ensure to complete the meeting room check list before allmeetings are being conducted
  • Prepare reportsin accordance to the operational requirements
  • Any additional responsibilities as advised by the LineManager or Head of Department
  • Requirements :

  • With at least 4 years experience in reception,administration, guest relations or customer service
  • Excellent verbal and written communication skills inEnglish, Arabic is a plus
  • Technology savvy andknowledgeable with Microsoft Office Suite (Word, Excel, Powerpoint& Outlook)
