Facilities Manager

Monitor Assurance Administer. The position is responsible for facilities management services, and also responsible for stakeholder management.

The position is responsible for managing the deliverables of in house services, and third party vendors. Managing all supply partner’s performance against the back to back SLA’s’ as well as reviewing key performance indicators’ of the contract.

The position is required to establish and implement an effective program of control reviews that verify that the process(s) you are responsible for are operating as designed and control are working effectively.

Your responsibilities will include :

  • Responsible for contract management and delivery of the integrated facilities workplace management.
  • Managing contractual implication of change.
  • Conducting site visits to ensure the look and feel standard are maintained to the highest standards.
  • Responsible for monitoring and upkeep of company’s artefacts within your site portfolio.
  • Financial monitoring (i.e. Invoice review and validation).
  • Collating and sharing performance data (i.e. KPIs) with the performance manager.
  • Managing soft service KPI and SLA’ compliance in coordination with the supply partners.
  • Risk monitoring (i.e. financial due diligence, risk assessments).
  • Conducting comprehensive periodic sampling as per the new SLA and KPI’s’ set up for the outsourced contract and review against deliverables.
  • Analysing and validating Mace Macro and Supply Partner’s’ monthly, quarterly and annual services delivery report.
  • Keeping supplier monitoring tools.
  • Driving implementation of periodic reviews.
  • Participating in material sub-contract reviews.
  • Maintaining process to identify poor performance or compliance gaps and track action plans to close gaps.
  • Interpreting bank policies, standards etc. for Mace Macro and SP’ where required.
  • Coordinating and requesting support from Senior Workplace Manager’, or regional team as required.
  • Maintaining strong presence in front of stakeholders to address all their concerns and issues in timely fashion.
  • Checking operational risk.
  • Ensuring all material risks are identified on a risk register, assessed, mitigated, monitored and reported.
  • Ensuring applicable external laws and regulations and internal policies, procedures, limits and other risk control requirements are implemented and complied with.
  • Providing propose control enhancements to ensure that any known risks are controlled within acceptable boundaries and to consistent standards.
  • Arranging align business (or functional) strategy with risk appetite and seek to optimise the risk-return profile of the business.
  • Establishing the right tone for the risk management culture of the team in internal communications and performance objectives.

  • Supports property services strategy and company’s strategic intent.
  • With high levels of customer care skills, with an emphasis on instilling the same in the team.
  • With an eye for detail, maintain the look and feel of the company’s properties to the highest standards.
  • Knowledgeable in providing and delivering cost effective solutions for facilities management operation.
  • Knowledgeable and experienced in minimising and mitigating mace macro’ and the company’s exposure to property, procurement and facilities management related risks.
  • With clear understanding of the appropriate countries, new service standards and partnership performance.
  • With commercial awareness and understanding commercial implications of service decisions.
  • Ability to support our staff as well as the supply chain partners through this role rather than oversee.
  • Actively search out local opportunities and articulate benefits case and risks to the Country Manager’.
  • To promote open, constructive and collaborative relations.

  • This role is about on the ground engagement with the bank and the supply chain at a country level and must understand all the service levels and be able to work with the supply chain partner to introduce solutions.
  • Must have driven, energy, patience and an ability to get the best solution out of supply partners.
  • Business Acumen

    This role requires commercial and contractual savvy and a clear understanding of how Mace Macro and its supply partners will provide a superior service delivery.

  • Experienced with output based, multi-service contracts and partnerships at a country level.
  • Be commercially astute enough to identify and implement country contract variations through the change control processes’ with global sourcing department’ of the company.
  • Good supply partner management .
  • Experience in managing multi service real estate contracts at a country level.
  • Experience of procurement methods and contractual terms and conditions relating to relevant services.
  • Strong knowledge and experience of performance management of partnerships.
  • Demonstrable experienced in managing contracts.
  • Soft service and facilities management experience.
  • Experience in managing stakeholders and clients.

  • A chartered member of relevant professional or trade organisation.
  • A degree qualification in facilities management or related discipline.
