Job Role : Office Manager (UAENational)

A prestigious government business andindustrial hub is looking for strong Office Manager (UAENational)

Responsible for the support ofadministration activities of the Chairman and managing the tasklist of the senior leadership team and responsibly administer andorganize assigned project activities under the direction of theChairman.


  • Serve as the executive support and officemanager to the Chairman; drive all initiatives, projects, tasks andteam management, in addition to all administrative support.
  • Manage and drive the initiatives and issuesdirectly related between the Chairman and key account customers,strategic partners and VIPs.
  • KeepChairman’s schedule updated and accurate and ensure thatthe Chairman has all necessary documents and items required foreach meeting or travel;
  • this includes arranging for the schedulesof meetings, events, calendar invitations, etc. for the Chairmaninternally and externally ensuring that these meetings areattended;
  • collaborating on meeting invites; rescheduling, makingrelevant changes and monitoring that these take place.

  • Provide administrative support for the other members ofthe Executive Office as and when required; this includes ensuringthat the relevant information and materials are created, or areavailable prior to the meetings, and ensuring that the calendarreviews are conducted on a daily basis with the Chairman orothers.
  • Coordinate all necessary travelarrangements for the Chairman and ensure the best options areprovided and the travels are arranged as per the personal requestsof the Chairman.
  • Professionally attend toall VIP guests and delegates for the Chairman and Executive Office,and serve as main communication channel and the focal point betweenthe Chairman office and Executive office;
  • this includes, addressingall the VIP and delegates inquiries, issues, complaints, andrequests, as well as addressing these requests or issues personallyor channeling them internally or externally and follow-up untilclosure in an efficient and timely manner.

  • Coordinate and deliver through a well governed process for requiredsignatures and approvals across all governance processes such as : payments, checks signatures, procurement processes and requests,admin and operational issues following the required flow ofcommunication, requests and documents efficiently and in timelymanner.
  • Prepare various reports,independently draft required documents and provide overalladministrative support to the Chairman as well as other seniorexecutives as requested by the Chairman to ensure efficientprovision of documents with accurate data, valid information andtimely reports.
  • Manage all tasks andprojects assigned to the team or organization by the Chairmanthrough communicating the requirements to the relevant staff andfollowing up until closure;
  • this includes, highlighting to theChairman any red flags, delays or issues, following up with theteam to ensure delivery until closure;
  • conducting research and alsocollaborating with the teams or departments to ensure that theinitiatives are completed.

  • Monitor, supportand follow-up with different team members and report appropriatelyto the Chairman to ensure smooth continuity and updates on allrequests and tasks assigned by the Chairman to those members.
  • Set up and administer Chairman’s officeand monitor and effectively plan the use of office supplies andother equipment to ensure that required items are available whenneeded and offices run smoothly and efficiently.
  • Acting as a focal point between the Chairman and otherdepartments channeling all corporate communications and providingupdates and communication on any new policies, procedures, changesensuring that this is circulated to relevant areas of theorganization.
  • Take additional job-relatedresponsibilities and demonstrate high level of initiative to ensureeffectiveness

  • Bachelor’s degree in Business or related field.
  • Minimum 8 years of experience in a similarrole.
  • Strong office managementexperience.
  • Outstanding interpersonal andcommunication skills.
  • Strong command ofEnglish and Arabic, both written and spoken.
  • Mastery of Microsoft Office programs.
  • Proventrack record in exceeding goals.
  • Knowledgeof office administration.
  • Ability tomaintain a high level of accuracy in taken & preparing ofminutes of meeting.
  • Exceptional capacity formanaging and leading and solving people’s issues.
  • Action oriented individual who enjoys working hardand looks for challenges and have a thorough understanding ofgeneral management.
  • Exceptionalorganizational skills to follow up on all issues related to theoffice.
  • Honest, trustworthy, respectful, anddemonstrate sound work ethics.
