The Officer - Procurement and Contracts is responsible for processing all campus purchasing transactions in coordination with Central Services.

He / she will also be responsible for developing and maintaining a procurement database. Additionally, the incumbent is responsible to monitor execution of contracts on campuses.

POSITION OBJECTIVE

  • The Officer - Procurement and Contracts is responsible for processing all campus purchasing transactions in coordination with Central Services.

    Operational

  • Prepare and / or edit all purchase orders across campus.
  • Coordinate with campus Inventory function to monitor inventory levels and support with sustaining them to the appropriate levels in order to meet campus' and functions' objectives.
  • Maintain an updated database of all procurement and purchasing records including the list of vendors and supply costs, and provide input to Central Services for database consolidation.
  • Coordinate with suppliers and vendors to place orders, schedule deliveries and / or to discuss shortages or missed deliveries.
  • Coordinate with campus inventory to monitor and ensure procurement deliveries meet the required specifications.
  • Communicate with inventory and relevant campus functions, departments and faculties to notify them of the placement of orders as well as status of delivery.
  • Support with monitoring the service levels and assessing the day-to-day performance of vendors.
  • Support with identifying ways to reduce campus procurement costs, such as evaluating costs of purchasing from various suppliers to arrive at the best deal.
  • Assist in the monitoring of contracts execution on campus and report to Procurement and Contracts Central Services on a regular basis.
  • Liaise with Procurement and Contracts Central Services to notify the need for contracts renewals in a timely manner.
  • QUALIFICATIONS

  • Minimum of a Bachelor's Degree in a relevant field is required e.g. Engineering, Logistics, Business, Supply Chain Management.
  • Full English proficiency is required.
  • Intermediate computer literacy is required e.g. MS Office, ERP.
  • EXPERIENCE

  • Minimum of two years of work experience.
