Assistant role for a small but busy firm supporting the team members with office management duties.We are looking for someone who can grow and take on additional responsibilities as the business grows.
Experience in a fastpaced internationallyfocused corporate environment is essential. UAE professional experience is also essential.
Financial Services experience is desirable.Primary ResponsibilitiesManaging organizing and coordinating all administrative activities of the office to facilitate the smooth running and function of the whole office and to ensure work is being executed efficiently accurately and in a timely manner.
Answering phones and managing visitors.Liaising with stakeholders in multiple timezones and scheduling meetings for the Team.
Making travel hotel and transport arrangements for the Team. Maintaining the filing and database system including employee files and looking for ways to improve current systems.
Carrying out admin duties such as filing typing copying binding scanning etc. Ensuring that Office is always clean organized and wellmaintained.
Ordering and maintaining stock of office supplies stationaries furniture etc.Maintaining office assets and equipment ie printers computers copy machine coffee machine AV etc.
Being a point of contact for a range of staff and external stakeholders.Liaising and coordinating with PRO for all governmentrelated transactions ie visas licenses etc.
Coordinating with insurance providers for the health insurance needs of the Team.Contacting and dealing with facilities providers ie landlord office maintenance IT providers etc.
Managing incoming and outgoing post.Responsible for organizing the office operations and procedures immaculately in order to ensure business effectiveness and work efficiency.
