Job Role : HR Assistant

Job Duties and Responsibilities :

  • Answering Staffs questions
  • Processing incoming email
  • Distributing documents
  • Serve as point of contact of Staffs
  • Updating and Entering Staffs data
  • Compiling HR Reports, Certificates, Letters and Memos
  • Maintain Admin & General confidential files
  • Attend meeting to record minutes
  • Attend daily Top 5 with the Executives
  • Make travel arrangements of Staffs going on vacations
  • Monitors Staffs vacation and airticket entitlements
  • Maintain proper filing of all Staffs individually
  • Make sure to maintain receipts of Passports, Emirates ID and Medical Insurance Cards upon handing over
  • Maintain all Staffs Bank Account Details both Excel Sheet and Hard Copies in file
  • Arrange Mobiles (if needed), Uniform, Company ID, Business Cards and Email Accounts of newly joined Staffs
  • Coordinate new Talents arrival and ensure necessary original documents and confidentiality are prepared for signature during first day
  • Coordinate Staff Accommodation beforehand to Accommodation In Charge and make sure its checked (Bedroom Facilities) and welcome pack prepared and placed
  • Prepare documents for signature with General Manager and CEO
  • Arrange birthday celebrations and special events like National Day / saving it beforehand in HR Calendar
  • PR Preparation
  • Maintain Clean and Order Office
  • Talents transportation arrangement
  • Arrange Guest Tourist Visa Request
  • Assist in locker and accommodation regular inspections with HR Executive and Accommodation Manager
  • Recruitment / New Hire Process
  • Arrange visa processing, medical screening appointments and new bank applications
  • Make travel arrangements of newly hired Staffs internationally
  • Participating in Recruitment Efforts
  • Conducting background and reference checks of newly hired Staffs
  • Organizing new Staffs Orientation
  • Enrolling new Staffs Biometric Fingerprints
  • Requirements

  • Can immediately join
  • Excellent Skills in Microsoft Office
  • Excellent communication skills both oral and written
  • Knowledgeable in UAE labour law
  • 5 star hotel experience
