JobResponsibilities :

  • Assist primarily the Executive Director withorganizational, financial and personal administration on a dailybasis
  • Communicate and handle incoming andoutgoing electronic communications on behalf of the ExecutiveDirector.
  • Chase responses to requests andemails to / from the Executive Director.
  • Greetvisitors graciously and in a professional manner, create a goodpersonal image through a neat, clean, business like professionalappearance and a positive, cheerful attitude.
  • Answer phones in a pleasant, helpful and professionalmanner, direct all incoming calls to appropriate party promptly andefficiently, accurately recording messages and reliably passingmessages to recipient in a timely manner.
  • Maintain records of decisions and ensure action items areclearly recorded for the Executive Director.
  • Organise documents for signatures of Executive Directorand members of executive staff related to relevantprojects.
  • Keep accurate records and files atall times and as appropriate. Update and maintain database ofexecutive key contacts.
  • Manage a nationalmulti-line phone averaging 30-50 calls per hour.
  • Be an ambassador of first impressions as you greetClients, guests and visiting employees.
  • Consistently track and report information insuringaccuracy and paying specific attention to detail, Use e-tools andcomputer systems to track visitors, manage work orders, and manageconference room needs and activities.
  • Prepareand disseminate correspondence, memos and forms
  • File and update contact information of employees,customers, suppliers and external partners
  • Check frequently the levels of office supplies and placeappropriate orders
  • Make travel arrangements,Document / courier inbound and outbound.
  • Job Requirements :

  • Should have a prior experienceof Grease & Lubricant productioncompany
  • Proven work experienceas a secretary or administrative assistant( At least 3 YrsExp)
  • Familiarity with office organization andoptimization techniques

  • University degreeholder with Excellent written and verbal communicationskills
  • Integrity and professionalism,Proficient in Microsoft Office Suite (Word, PowerPoint, Excel,Outlook)
