The Administrative Assistant performs avariety of secretarial and administrative work for the departmentrequiring initiative and independent judgment.

The incumbent worksindependently under general direction, handles problems andnon-routine situations and interpret guidelines and University anddepartment procedures.

Performs some orall of the duties listed below, as assigned.

Performs a variety of administrative and / or secretarialsupport activities such as composing replies to correspondence onown initiative, interpreting and explaining established policy andprocedure in response to inquiries from a variety of sources.

Assigns work to office staff and monitors itsproduction.

Prepares or directspreparation of minutes, notices, manuals, agendas, decrees andcorrespondence with all supporting documentation, requiringapplication of a specialized knowledge of the assignedfunction.

  • Researches, summarizes andanalyses information; compiles data to prepare special andrecurring reports containing specialized information;
  • selectsrelevant information from a variety of sources.

    Screens phone calls and visitors, directing to appropriatestaff or department when necessary; provides information requiringcomprehensive knowledge and may interpret department policy,procedure and operations.

  • Types or wordprocesses correspondence, reports or other documents from roughdraft, corrects grammar, spelling and punctuation errors;
  • editswording without changing intended message.

    Corresponds with University and department staff answering queriesand providing assistance to enhance customer service and unitworkflow.

    Develops and maintains processes and procedures forhandling customer matters.

    Takes minutesat meetings.

    Develops presentations formeetings.

    Schedule meetings.

    May handle petty cash.

    Mayassist the design, writing and editing of various documents andpublications.

    May administer and providetraining on databases or systems which support the unit.

    Other duties as assigned by immediatesupervisor

    Minimum Requirements

    Microsoft Office Suite

    Interpersonal skills

    Knowledge of oneforeign language preferably English* Baccalaureate Degree / HigherDiploma

    6 - 10 years relevantexperience

    Preferred Qualification

    Very good command of Arabic and English spokenand written

    Excellent command of IT skillsand computer applications

    Priority will befor National applicants
