Key Accountabilities

  • Keeper of archive files (active and inactive) andresponsible for proper arrangement of files in compliance to labourinspection and internal or external auditors.
  • Ensure that documentsare files with accuracy and in proper sections

  • Attend to employee file requests, maintain a logbook forborrowed employee hard files and follow up or escalate if notreturned on time
  • Generate weekly report, makefollow-ups with line managers and ensure the right SLA'sare followed
  • Ensure complete and timelypreparation of documents for requests of new Airport Security passapplications or renewals
  • Arrange delivery oforiginal Emirates ID to staff after scanning and data entry inSAP
  • Coordinates with Admin Department toensure complete and timely preparation of documents required forEmbassy Appointments for Business Travel purposes.
  • Request cheque preparation from Finance and send thempayment voucher for trade license renewal
  • Ensure complete and timely preparation of documents forapplying sale permit during promotion for all POS across UAE onmultiple channels
  • Reconcile PRO card expensesagainst submitted actual receipts for HR Executive review andfinalization
  • Any other duties andresponsibilities as directed by Line Manager
  • Requirements :

  • With at least 3 years experienceadministration
  • Excellent verbal and writtencommunication skills in English, Arabic is a plus
  • Ability to compile and maintain records, reports andsupporting documentation for processing and retrieval
  • Knowledgeable with Microsoft Office Suite (Word, Excel,Powerpoint & Outlook)
