New York University Abu Dhabi (NYUAD) seeks to appoint a number of Center Coordinators to join the growing research centers at NYUAD.
The Center Coordinators will ensure that all administrative tasks are organized and completed on an as and when needed basis for the Research Center.
They will be responsible for the day-to-day management of all administrative, project, and operational functions. A high degree of initiative, independence of action, and ability to achieve results without explicit guidance is expected, as is the ability to work quickly and efficiently, particularly during busy times.
The position acts as a cross-communicator for internal departments and external partners. The Center Coordinator ensures all grant requirements for the Center are being met and manages all stakeholders.
Key Responsibilities :
Administration Management
Responsible for short and long term center planning, manage administrative function to support and lead Center to success
Use effective methods to review and improve operations
Responsible for all center activities and reporting mechanisms (ex. stakeholder reports, financial reports)
Organize and maintain databases, files and all records pertaining to the Center
Act as stand in for Principal Investigators, attend meetings on their behalf
Provide administrative and organizational support for the day-to-day running of the office
Draft and finalize correspondence on behalf of the center, some of which may be sensitive or confidential matters; Develop presentations for internal and external audiences
Coordinate with project partners (advisory board members, funding agencies, foundations, companies etc.)
Human Resources
Coordinate the PI human resources needs and advise on HR matters
Oversee hiring plans, staffing process; Develop recruitment strategies as needed
Coordinate on and offboarding process and annual performance reviews for research staff and visiting researchers
Responsible for seating arrangement and the maintenance of all staff records
Arrange travel and visitor arrangements for scholars, speakers, guests, advisors
Ensure financial best practices and policies are being followed
Regularly forecast and maintain budgets in collaboration with PIs and Provost Finance
Make sure the Center is most effectively using funds
In charge of all research and business purchases, specialized needs, managing the p-card; Act on behalf researchers with external vendors
In control of all financial processes and reporting systems (POs, invoicing, reimbursements, honorariums)
Responsible for all budget and management sub-wards / external grants (application, pre-award, award and post-award)
Answerable for all expenses (accuracy, need for investigating discrepancies) and produce monthly financial reports
Marketing
Manage small and large scale events including meetings, seminars, events and workshops
Work in conjunction with the Web and External Affairs regarding press releases and events
Responsible for routinely updating website with research, news and events
Maintain databases with content; independently edit photos or content and build on the CMS
Respond to and archive inquiries sent to the center
Assist PIs and research staff with all relevant travel needs

PMP Certified
Required Experience :
3 5 years’ experience in a comparable position with a proven record of working within and coordinating administration services
Superior written and oral communication skills in English
Ability to manage and work flexibly among variety of co-workers
Demonstrates initiative, independently driven, and can work autonomously and simultaneously in cooperation with others
Adapt at financial understanding and training
Expertise of technological systems (ie. Google Calendar / Drive, Microsoft Office, Servers) and ability to troubleshoot, when necessary
A willingness to lead the projects from the highest to the most mundane levels; to swing between high-level responsibilities to detail-oriented tasks
Preferred Experience :
Proven track record of meeting job responsibilities and supervisor expectations
Experience in an academic / higher institution setting, working in a multifaceted environment
