Summary :

The Manager of the Office of the CEO will be responsible for coordinating activities within the organization based on the priorities of the CEO.

It is a highly strategic and facilitative role that requires a combination of focus and flexibility and significant managerial and problem-

solving skills in working with senior staff and clients. As the CEO's "trusted right hand," the role requires a highly resourceful individual, with emotional intelligence, self-

motivation, and strong analytical and critical thinking skills to provide support; planning, project coordination and communication including management of CEO calendar, scheduling of appointments, attendance at various project and team meetings with maintenance of clear action plans and follow ups.


  • Coordinate all CEO’s internal and external sponsored activities and meetings.
  • Coordinate and prioritize CEO’s calendars to align with programs and department events, assuring alignment with the organization’s mission and strategy.
  • Initiate, lead, and manage certain projects as they arise or directed by CEO.
  • Work closely with the CEO to design and direct a deliberate and broadly inclusive strategic planning process that sets the direction of the company and establishes clear organization-
  • wide goals and objectives, including engagement with senior leadership and staff.

  • Develop draft communications on behalf of the CEO, including the CEO update at management meetings and follow up.
  • Represent CEO’s position in internal and external meetings and update CEO accordingly.
  • Maintain records and document control.
  • Filters requests for approval / relevance of documents of CEO, and re-directs according to levels of authority required or level of issues.
  • Act as an intermediary if CEO is away and managers have strategic priority questions, and work with staff to ensure that the CEO’s needs are conveyed, that progress is being made in a timely way.
  • Prepares operating and expense budgets for the Executive Office.
  • Performs other related duties as required and assigned

  • Successfully manage competing priorities in a fast-paced work environment, and identify, analyze, and solve complex problems.
  • Communicate effectively, both orally and in writing. Prepare, review, and edit reports, procedures, and other materials clearly, concisely, and factually with intent to present them in public and at high-level meetings.
  • Work collaboratively with colleagues and contacts, with high degree of diplomacy, discretion, professionalism, and courtesy.
  • Maintain high standards of integrity and professionalism, and handle sensitive and proprietary financial and other information in strict confidence at all times.
  • Apply strong analytical skills to make rational, realistic and sound recommendations and decisions based on consideration of all facts and alternatives, in support of stated goals.
  • Use office and project management tools Microsoft Office Suite especially Word, Excel, PowerPoint and Visio, Google Docs, Box, and / or enterprise management software.
  • Manage time and resources effectively to meet deadlines.
  • Knowledge of ISO documentation and certification process.

  • Can perform duties with little supervision.

  • University Degree in any discipline with diploma in secretarial practice with minimum 5 plus years work experience.

  • Working conditions are normal for an office environment. Work may require weekend and / or evening work as required by the business.
