Location Beirut, Lebanon What this job involves

PROPERTY MANAGEMENT

  • Accept all handover collaterals from the management team on behalf of the owner.
  • Tender and recommend the appointment of the maintenance / cleaning scope for the retained assets
  • Visual inspection and flushing / testing systems twice weekly with record for un-leased retained assets
  • Ensure that any snags and Defects Liability Period (DLP) issues are recorded and attended by the developer’s contractor.
  • Ensure all insurances required on behalf of the owner for the retained asset are implemented in line with relevant policy and procedure
  • Coordinate with the sales / finance / handover teams to ensure all clearance documents are available and promote a smooth handover of retained assets to tenants.
  • Ensure any retail / commercial assets undergoing fit out are aware of the Fit Out Guidelines and procedure
  • Manage tenant information. Files must be stored safely and updated in line with data management policy and procedure.
  • Manage key control / access for the retained assets.
  • Manage all communication with tenants or building owners association via letter email or telephone coming from or going to unit tenants to ensure accuracy of information and quality of content.
  • Manage all legal communications for retained assets via the appointed legal advisory company.
  • Manage the development and implementation of the community policies and procedures to ensure Report on asset management of the retained assets fulfilment of legislative / procedure requirements and alignment to operations.
  • Ensure legislative requirements met and critical PPM assumed in buildings such as Health Club and Retail Common Area
  • Events co-ordination with estate management, marketing, and tenants.
  • Report on the financial and operational performance of the retained assets
  • Represent the owners of the retained assets in community / building owner’s association meetings.
  • Lease administration works on behalf of the owner post leasing consultant services (provided by others)
  • CUSTOMER SERVICE

  • Address all comments, queries and complaints via telephone or email received from tenants of the retained assets and forward to the building owners association or estates management as appropriate.
  • Ensure that job cards opened for internal maintenance issues in the retained assets are attended and closed within the agreed timelines.
  • Record and address other complaints from tenants of retained assets and report on the same.
  • FINANCIAL

  • Receive and check service charge invoices and arrange for payment to the building owners association or estate management as applicable.
  • Provide owners CAPEX requirements for annual budget purposes.
  • Sound like you? To apply you need to be :

  • Have a standard degree in property or related field. MRICS would be a distinct advantage.
  • 2 years property management experience as (as assist PM or equivalent)
  • Excellent written and verbal communication; people and time management, report writing; general accountancy; outlook; excel;
  • Arabic as a second language would be useful but not essential. Experienced in dealing with high net worth individuals, the media, press and difficult customers.
  • Ability to handle pressure with grace. Positive attitude, flexible and pleasant personality. Good leader and team player.

  • Operational : Custodian for retained assets (apartments, retail F&B, offices, parking, gym (if applicable) ensure assets are being properly managed operated and maintained by tenants / management and operating firms.

  • Works with : ExternalStakeholders - Contractors, Consultants, Suppliers, Service Providers, Owners, Residents / Tenants, Vendors, Hotel Operator and Hotel Visitors, Local Authorities
  • Internal Stakeholders - Sales & Marketing, Leasing, FM, Community Management, Development, Legal, Finance, Infrastructure, IT, QA / Q, Handover

  • Reporting to : Estate Manager
