Location Dubai What this job involves

All day to day accounting activity and support for Leasing Executive as and when required.

  • Accounts Receivable, invoicing, collection, payments, receipting and reporting
  • Accounts Payable - purchase orders, payment approval, processing and recording
  • Management and preparation of daily cash position report.
  • Tracks movement in bank accounts / replenish balances to ensure adequate availability of funds.
  • Responsible for the timely payment of all vendor liabilities.
  • Follow up with income arrears
  • Maintains and updates the company's financial records monitored on a daily basis
  • Maintain log of Manual Books (Invoices & Receipts) & complete tracking of invoices upon submission
  • Assist in compiling and analyzing financial information to prepare entries to accounts, such as general ledger accounts, and document business transactions.
  • Assist in maintaining fixed assets records and preparing depreciation schedules.
  • Liaison with external Auditors.
  • Assist in preparation of Annual budget.
  • In absence of the Leasing Executive do the following :

  • Understand and be able to use filing and referencing system
  • Prepare Lease agreement in line with negotiations / discussions including direction and checking of AutoCAD drawings for lease area and all relevant calculations / payments terms, amounts and dates for Cheques to be received, all Tenant documentation.
  • Interface with clients and prospects to successfully define the parameters, lease terms, and limitations surrounding a possible lease, listing and related agreements.
  • Manage the reservation lists and expiring offers.
  • Manage all lease renewals in advance as per company policy Compile and present monthly leasing activity reports rent roll, stacking plan, occupancy, fit out underway, key handover, market reports.
  • Update Lease Performance Report after very new Lease is signed and circulate
  • Manage all vacating tenants in line with the Move Out Procedure
  • Act as the first point of contact with the tenants.
  • Greet all walk-in tenants and receive all phone calls from tenants as a first point of contact.
  • Tenant Move-Ins - Preparation for and Coordination of ; Introductions to the buildings, handbook review, Emergency Evacuation Operation Plan, register contacts, HSE contacts, disabled persons etc.
  • Inspect the building and prepare a condition survey report to be signed by Tenant Liaison and Tenant
  • Move Out Coordination - Prepare and deliver all correspondence regarding Move Out communication in a timely manner and follow up personally with Tenants to ensure they are prepared and informed of the process for move out -
  • reinstatement, utility disconnection, issue clearance certificates on confirmation of fully paid dues.

  • Compiles moderately complex documents and information for necessary reports, informational packages and / or presentation materials.
  • Produces weekly / monthly reports
